By Enrolling our children to Sherpa Kids North Co. Dublin agree to ALL of the following statements.
In case you don't agree to any of the below, it's your responsibility to include a SPECIAL NOTIFICATION in the "Notes" Section. Everyone having the "notes" section empty is considered in agreement with the below statements:
Cancellations & Changes to bookings
Term/ School year regular booking cancellation
Our cancellation and amendment policy has been designed to ensure that the capacity we have is always available to parents, avoiding empty spaces where children do attend as planned.
If wishing to cancel a term/ school year regular booking, parents/guardians must give Sherpa Kids NCD, three weeks’ notice, in writing by email.
For Holiday Care cancellations please consult the Terms& Conditions specific for the holiday you are booking. We don't accept changes to holiday bookings, unless specifcially mentioned in the program's terms & conditions,
Changes to existing bookings (regular or casual)
All booking amendments requests for current week must have be emailed by Friday 3:00pm the week before last ensuring a minimum notice of 9 calendar days.We accept a maximum of 3 changes per year.
Eg: for any bookings during week of 03/02/2020 amendments must be emailed by 3:00pm on Friday 24/01/2020.
Where notice is not received or received after this date credits will not be given, and invoices will be charged based on the original booking.
Amendments/changes/cancellations received before then will be automatically credited and changes will always be accommodated where possible.
All cancellations or changes to all services, including holiday/summer camps must be made in writing to Sherpa Kids email address. No other cancellation notification will be accepted. Once accepted you will be notified by email that your cancellation has been received and confirmed together with any relevant comments.
For the avoidance of doubt this includes sickness and you will continue to be charged until notification has been made. Charges will cease the day following the notification. The details of the cancellation policy and possible charges are set out clearly in the fees and charges tables set out in this document. You should read these tables carefully to reduce unnecessary charges. ONLY book the time that you will need to avoid additional charges.
Late pick up | All children must be collected promptly at the planned collection time, a strict 10 minute grace period is available. Where late collection happens , once the 10 min grace period is finished, the parent will be charged an extra full hour. |
Late pick up after 06:30pm | A grace period of 5 minutes is applicable for ASC after closing time, to allow for minor delays to a child pickup. Where a child is signed out up to closing time + 5min there is no late pick up charge. Where a child is signed out later than closing time + 5min a charge of €7.5 per child will be applied for every 10 min that the parent is late. |
Amendments to existing bookings | All booking amendment requests need to be emailed no later than Friday 3:00pm the week before last, ensuring a minimum notice of 9 calendar days. |
Sickness | Where a child does not attend because they are out of school due to sickness charges will be made based on the original booking for that day and no charges will be applied for subsequent days after notice has been received. If no notice is received from the parent, in writing fees will still be charged. |
Sibling discounts | Where siblings attend the service together a 10% discount will be applied to the second child and 20% to the third or an additional children there after |
Emergency Medical Care
I understand that every effort will be made to contact the named guardian or next of kin in the event of an emergency, requiring medical attention.
However, if none of these can be contacted I hereby authorise the service to transport my child to the doctor's surgery or to the appropriate hospital A/E department by ambulance or as is necessary and to secure the necessary medical treatment for my child.
Emergency Medical Treatment
I give my permission for my child to be given appropriate emergency medical treatment in the case of an emergency
Calpol/ Nurofen Administration
I give my permission for my child to be given Calpol or Nurofen in case of high fever/ severe pain. Sherpa Kids will always talk on the phone with the parents prior to administering the medicine and will only do so according to the dosage and instructions written on the package.
FirstAid
I authorise that staff trained in First Aid may administer First Aid to my child as appropriate.

Sherpa Kids will collect, use, disclose and hold information in accordance with the Data Protection Act (1998 and 2003). This information includes:
- for parent, children and nominated emergency contact / authorised pick-up persons: name, contact information
- for children only: medical and dietary information required for health and safety reasons, date of birth.
This information is used solely for the purpose of administering Sherpa Kids childcare service, including tracking and registration of attendance in Sherpa Kids systems, planning of activities and delivery of the service in a safe way, billing and internal reporting purposes.
Sherpa Kids will only disclose personal information to other organisations and government agencies, only where required by law or necessary for the good conduct of the business. These may include, but are not limited to: Sherpa Kids Affiliates and Contractors, Sherpa Kids Ireland Head Office and Sherpa Kids International Head Office, Sherpa Kids auditors, insurance providers, legal and professional advisors, Department of Education and Office of the Revenue Commissioners.
This information will be stored by Sherpa Kids on secure information systems and, where required, in hard copy stored in secure facilities on site, or at other designated Sherpa Kids facilities. Sherpa Kids will retain your records and information for a minimum of 2 (two) calendar years from the termination of your enrolment to the Service, subject to applicable legal or professional standard requirements.
Permission to Change Clothes(e.g. if child is attending a class and requires changing before being dropped by the service)
I hereby give permission for clothes to be changed should the need arise. Sherpa Kids staff will only do this if the child requests it and if they are not able to do it themselves. We will always encourage the child to try changing clothes by themselves.
Access to Animals/Insects
I give permission for my child to be in contact with or having supervised access to animals or pets. Care will be taken to ensure that the health, safety and welfare of the children is not put at risk.
Sun Cream Permission
I give permission for the application of sun cream to my child.
Movie watching Permission
I hereby give permission for my child to watch G & PG rated movies and games.
School Communication Permission
I authorise that my child’s school has permission to release some personal information about my child to Sherpa Kids. This will refer to information about the child's day, any special circumstances that the teachers would want to share with Sherpa Kids staff who are collecting the child straight from school.
PaymentsAll payments are made online, we do not accept cash onsite. Payments can be made by bank transfer (full bank details are included in each invoice) or online by debit/credit card. Our payment provider is Stripe. For any payments made by debit/ cred card, the transaction fee of 1.5% + 0.25EUR is covered by the parent. This is automatically added to the invoice and it is automatically directed to Stripe, the payment provider.
